Gender Pay Gap - Pay Code Setup

This system produces a set of five (5) reports on Gender Pay Gap each time the payroll is processed. A data file can be requested which will be sent using the file forwarder functionality and be sent to the client electronically.

Prerequisite

  • Ensure that the "Create Gender Pay and Bonus Gap Reporting" checkbox on the Employer Details screen is ticked. This will be set as a default across all payrolls and if not needed or required by legislation can be removed.
  • A default set of pay element codes has been set up for use across all payrolls but will need to be tailored by the client either directly or in liaison with their Payroll contact in order to fine tune the reports.

Rules and Guidelines

  • For Payments eligible to be included as "Pay" or "Bonus/Commission" and the hours worked, Managed Clients will need to inform Moorepay which elements need to be included/excluded in the Gender Pay and Bonus Gap if those are different to the default values entered and to be included in the data file and in the 'New' reports that would breakdown the data into the required measures. Admin Bureau/Licensed Clients, on the other hand, can also manipulate these pay elements as they require in order to meet their reporting obligations.
  • Filters are available on each of the columns of Code, Description, Pay, Hours, and Bonus/Comm.
  • The data file produced will be under designation D80.
  • The "Gender Bonus and Gender Pay Gap for the period (day) (month) to (day) (month)" will contain details such as 'Company Number', 'Employee Number', 'Pay Period', 'Gender', 'Pay Amount Paid', 'Pay Hourly Rate', and 'Bonus/Commission Payment'.
  • There are five reports available plus the data file. The reports will be produced each time the payroll is produced but not in Preview:
    • Gender Bonus gap
    • Gender Pay gap
    • Gender Pay summary
    • Gender Pay exceptions - This will show the excluded employees and why
    • Gender Pay code selection - This will show the Pay element codes currently being used for this purpose
  • A graphical representation of the Gender Pay Gap Quartile pay distribution can also be selected within the Dashboards menu in Payroll. This graph displays different values each time the payroll is processed for each pay period and this will indicate to the employer how they were progressing towards reducing the pay gap (i.e. the last pay period of the Tax Year being the reportable one).
